Job Summary/Basic Function:

Provide support for the Executive Vice President, as well as the Resource Development Department, and frequently assist other departments that report to the Executive Vice President, which includes: Student Affairs, Student Success, Workforce & Community Development, Student Career & Employment Office, Outreach/Recruitment and the Lee College Education Center in South Liberty County.

Assist in all aspects of resource development and donor relations for the Resource Development Office. Represent the college to external stakeholders, cultivate relationships, assist with grants, alumni and foundation, plan and execute fundraising and other types of events, assist students with scholarship activities.

Duties and responsibilities include, but are not limited to:

  • Answer phones/route calls as directed; be the gatekeeper for the Resource Development Office. Pick up and deliver mail daily.
  • Greet, receive and assist students, guests and colleagues who contact/visit the Resource Development Office.
  • Assist students with questions, scholarship concerns, login issues, and other problems with web-based scholarship program.
  • Assist with the Executive Vice President’s calendar, as well as the calendar for the Resource Development Office/staff; handle RSVPs to meetings and events and take minutes at staff meetings.
  • Provide support to grants with research and clerical support.
  • Submit and approve purchase requisitions and track billing and payment. Order supplies and equipment for the department.
  • Assist Executive Vice President and Resource Development Office with event planning from meetings to special events, to include developing and tracking of the guest list, reserving rooms, determining the schematic for set-up, arranging for special items (e.g., music, linens, centerpieces, photographer and caterer), creating invitations and other printed material, tracking RSVPs, handling donor acknowledgements and receipts, arranging for audiovisual or other support equipment, set-up/clean up as needed, assisting with selection of menus, etc.
  • Assist with scheduling meetings, meeting agendas, preparation and planning for grant, alumni, and foundation meetings and others as needed, making copies, preparing/creating/updating spreadsheets, ordering food when necessary, and cleaning up.
  • Acknowledge gifts from donors and assist donors and community members with questions and concerns.
  • Develop and maintain accurate spreadsheets. Develop and maintain membership lists and donor invitations lists. Assist with PowerPoint presentations as needed.
  • Process account statements and credit card expenses for the Executive Vice President and Resource Development staff monthly.
  • Assist with travel plans as needed.
  • Maintain donor database, record all corporate matching gifts and reconcile with the Business Office, and provide timely and accurate reports of activity.
  • Compose and type internal and external correspondence.
  • Accept, deposit and track all donations.
  • Receive and coordinate all student thank you notes to donors.
  • Serve as primary point of contact for community and former student websites.
  • Assist with Resource Development mailings.
  • Supervise student assistant.

Additional duties and responsibilities may include, but are not limited to:

  • Assist with or manage special projects.
  • Assist EHCMA in preparing for and executing an annual golf tournament which benefits Lee College, San Jacinto College and Houston Community College (May to November).
  • Assist Foundation in fundraising for the annual Gala (May to October).
  • Perform other duties assigned.

Minimum Qualifications:
  • Associate degree or successful completion of sixty (60) college credit hours
  • At least three (3) years of related work experience supporting managers/executives
  • Must be organized, accurate, attentive to details and able to master a wide range of complex tasks in a dynamic, fast paced work environment
  • Excellent computer skills, including Microsoft Office, as well as the ability to master additional software programs as necessary
  • Excellent oral and written communication skills
  • Excellent interpersonal skills, able to converse easily with the public, friendly and personable
  • Dependable, professional
  • Able to work evenings and on weekends as necessary to support department events and deadlines
  • Commitment to the community college students and mission
Preferred Qualifications:
  • Previous experience working with interactive software and databases
  • Previous fundraising and event planning experience
